Managing user roles in Manychat is key to ensuring efficient team collaboration and secure account access. Each of the five roles—Owner, Admin, Editor, Live Chat Agent, and Viewer—comes with specific permissions that define what users can see and do within Manychat. This article will briefly explain each role, how to view and change them, and how to manage team access and billing permissions. Whether you need to adjust roles or invite new members, this guide will help you streamline your Manychat experience.
User roles
Your Manychat account includes five distinct user roles, each with specific permissions that dictate access to various sections of the platform. You can view and manage these roles under Settings → Team Members.
Here's a quick overview of each role:

Owner: The Owner has full control, including managing user roles, disabling and cloning the account, sharing content, creating and installing templates, and handling billing and payments. There can only be one Owner per account.

Admin: Admins can manage user roles and perform many of the same actions as the Owner, such as account cloning, content sharing, template creation, and billing management, but they cannot transfer ownership.

Editor: Editors can create and manage automation content and install templates but cannot disable or clone the account, share content, or create new templates.

Live Chat Agent: Live Chat Agents handle conversations within the Live Chat feature, manage tags, and update Custom User Field values. They cannot create or edit automation content but can view existing flows. They are also unable to perform bulk actions like reopening or closing conversations.

Viewer: Viewers can access account statistics and view automation data in a read-only mode but cannot create or edit automation content.
How to check your Manychat user role
You can check your current Manychat role by going to Settings → Team Members. If you logged in with your credentials, you should see It's me next to your name. If you are also an Admin of the Facebook Page, you will see the Facebook icon next to your name.
💡 Note: Being an Admin on the Facebook Page doesn't automatically grant you an admin role in Manychat. Your Manychat role is determined by the role assigned to you via the invitation link.
Changing user role and billing permissions
The Manychat account owner and admins can change the roles of other team members. To do so, click Edit next to the team member's name and select the desired role from the dropdown menu.
On this same screen, you can also manage billing access for a specific team member. Use the Has permissions toggle to grant or revoke permissions:
Team members with billing permissions can view the Billing section in Settings, add or remove payment methods, edit invoice details, and view invoice history. Only the account owner or admins can adjust these billing permissions.
Joining an account
You can join a Manychat account in two ways: by requesting access or using an invitation link.
Requesting access
To join a Manychat account with a connected Messenger or Instagram channel, go to the list of your accounts in the left-hand menu and click Create new account:
Then, try to connect the Messenger or Instagram account and click Request access. Once the request is submitted, this button will indicate: Request sent.
The account owner will need to approve your request in the Settings → Team Members section:
Joining by invitation link
Alternatively, you can join a Manychat account via an invitation link. Only the account owner and admins can generate this link.
⚠️ Important: The invitation link expires after 24 hours and can be used only once.
To generate an invitation link, go to Settings → Team Members, click Invite new member, select the desired role, and click Generate a link. Copy the link and send it to the person you want to invite.
Keep in mind that the Facebook Page role does not affect Manychat roles. For example, a Facebook Page Admin invited via a Viewer link will have a Viewer role in Manychat. Also, it’s not necessary to have a Facebook Page role to join a Manychat account.
💡 Note: If someone is already a team member of this Manychat account, they cannot change their role by using an invitation link with a different role.
Removing yourself from the Manychat account
To leave the account, go to Settings → General, and click the Leave button at the bottom of the page:
⚠️ Note: If you are the account owner, you must transfer ownership to another user before you can leave the account.
Free account limitation
Please note that free accounts have a limit of one team member per account. Exceeding this limit will prevent account owners from sending messages through configured automations, Live Chat, and Broadcasts. You may remove a team member to stay within the limits of the free plan.
