In this article, you’ll learn how to set up your business email address on your own domain and how to warm up your email sender reputation. There are four steps you’ll need to take to set up your business email address successfully:
- Verify your business email address
- Generate Manychat’s Domain Name System (DNS) records
- Update your DNS records & verify changes
- Warm up your email sending reputation
⚠️ Note: You must own the business domain from which you’d like your emails to be sent, as changes are needed to the domain’s technical records to set this up. Emails belonging to a free provider (@google.com, @yahoo.com, etc.) will not work.
By default, all outbound emails are set up to be sent from a Manychat email address belonging to Manychat’s domain, but you can set this up to be sent from your business domain instead. Doing so means your emails will appear to be sent from an email belonging to your business.
You may want to set up your business domain for several reasons, including to appear more professional and have greater control over your email sender’s reputation and brand.
To access your email settings, go to Settings → Email → Send from in your Manychat account.
Step 1. Verify your business email address
Go to Settings → Email → Send from and click + New Address.
Enter the Email address and the Sender name from which you’d like your emails to be sent and click Add Address. You can make changes to the sender name later, at any time. You may also add a Reply to address if you would like to receive replies from your customers (it may differ from your primary business email).
Once you add your business email, you’ll receive a confirmation email to verify your email address. If you don’t receive a confirmation email in your inbox (be sure to also check your spam/junk folder), click Verify to resend the confirmation email:
Step 2. Generate Manychat’s DNS records
After your business email address is verified through the confirmation email, your business domain will need to be verified, and you’ll need to give Manychat permission to send emails on your behalf. This is an important step that will help prevent unauthorized users from using your domain to send malicious emails to your contacts.
To verify your domain, you’ll need to generate Manychat’s Domain Name System (DNS) records to make updates to your own provider’s DNS records. You will have 3 days to complete the verification.
Click Authenticate below to generate Manychat’s DNS records:
This will generate the DNS records from Manychat that you’ll use to update your domain provider’s DNS records and successfully verify your domain.
Step 3. Update your provider’s DNS records & verify changes
This step requires you to complete a task outside of your Manychat account. Open your domain provider’s DNS platform, where you’ll apply the DNS records generated in the previous step to your domain.
Instructions on how to do this for popular domain providers are listed below:
If your domain provider isn’t listed here, log into your provider’s account, search through their help documents for instructions, or contact their support team for assistance.
Once you’ve updated your domain records correctly, you’ll verify this by clicking Check my modified DNS records in Manychat:
Please note: Authentication on your provider’s side usually takes just a moment, but it may take longer in some cases. Once you’ve successfully updated your provider’s DNS records, you’ll see a confirmation pop-up. Check I understand that I should warm my sending reputation, and you’re all set.
Step 4. Warm up your email sending reputation
We’re almost there! You should now be able to send emails from your business address, but you’ll first have to warm up your email reputation before you can begin sending emails to your contacts.
In order to warm your sending reputation up, you’ll want to limit sending emails for the first 2-4 weeks after you’ve successfully connected your business email address. Do this even if you currently have a good sending reputation with your provider. This will help prevent your emails from ending up in your contact’s spam folders.

Business domain troubleshooting
Please note that some services, such as GoDaddy, Google Domains, Squarespace, Cloudflare, or Namecheap, require removing the domain part of the Name (host) when setting up a DNS. If you are experiencing any issues with DNS records in the Name field, try deleting the part of the copied text, as shown in the picture below, and saving your record again: you should only copy the name part.
Step 1. Copy the Name (host) from the Manychat modal window.
Step 2. Insert the name in the name field in your Domain service and remove the domain part.
Step 3. Check your DNS Records, and now you are all set.
